Privacy Policy

This policy explains how GoopWorks LLC ("AllHours", "we", "us") handles information in connection with the AllHours AI receptionist service, the allhours.app website, and our applications (together, the "Service").

AllHours serves two groups of people, and the distinction matters throughout this policy. Customers are the businesses that subscribe to the Service. Callers are the people who telephone those businesses and speak with the receptionist. For most caller information, the Customer decides what is collected and why; we process it on their behalf and under their instructions.

Information we collect

From Customers, when an account is created and configured:

  • Account details such as name, business name, email address and telephone number
  • Business configuration: hours, service area, greeting, escalation rules and intake questions
  • Credentials and tokens authorizing us to connect to scheduling, CRM or messaging systems you choose to link
  • Billing information, which is processed by our payment provider and not stored by us in full

From Callers, when the receptionist answers a call placed to a Customer:

  • Telephone number and any caller identification supplied by the network
  • Call audio and recordings, where recording is enabled for that Customer
  • Transcripts and summaries generated from the call
  • Information the caller provides during intake, such as name, service address, the nature of the request and preferred appointment times
  • Call metadata: time, duration, routing outcome, and whether the call was booked, escalated or closed

From visitors to allhours.app:

  • Standard server and log data, including IP address, browser type and pages requested
  • Analytics data collected through Google Analytics, which uses cookies and similar technologies
  • Information you submit through forms on this site, such as a demo request

Call recording and consent

Recording and transcription are configurable, and whether they are enabled is the Customer's decision. Recording laws differ by jurisdiction, and several states require the consent of all parties to a call.

Customers are responsible for the legality of recording on their line, including playing any disclosure their jurisdiction requires before information is collected. We provide configurable disclosure language to support this; we do not provide legal advice about whether it is sufficient where you operate.

How we use information

  • To answer calls, conduct intake, check availability, book appointments and escalate calls according to the Customer's configuration
  • To deliver call records, transcripts, summaries and notifications to the Customer
  • To operate, secure, troubleshoot and improve the Service
  • To communicate with Customers about their account, billing and material changes
  • To comply with law and to enforce our terms

We do not sell personal information. We do not use caller call content to train general-purpose models for third parties.

SMS and messaging

The Service can send text messages, including appointment confirmations to callers and alerts to Customer staff. Consent is collected verbally on the call before any message is sent, and the exchange is recorded with the rest of the call. Customers are responsible for having a lawful basis to message the people they add, and for honouring opt-out requests. Reply STOP to a message to opt out and HELP for assistance.

Carrier disclaimer. Mobile carriers are not liable for delayed or undelivered messages. Message and data rates may apply, and message frequency varies with your call volume and settings.

How we share information

We share information with service providers who process it on our behalf, under contract, for the purposes described above:

  • Telephony and messaging providers, to place, receive and route calls and texts
  • Speech and language model providers, to transcribe audio and conduct the conversation
  • Cloud hosting and storage providers
  • Analytics and error-monitoring providers
  • Payment processors
  • Systems a Customer explicitly connects, such as scheduling software or a CRM, to write bookings and records into them

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.Information sharing with subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Mobile opt-in data is never sold.

A current list of subprocessors is available on request from help@allhours.app. We also disclose information where required by law, and in connection with a merger or acquisition, in which case we will give notice before information becomes subject to a different policy.

Retention

Call recordings, transcripts and intake records are retained for the period configured by the Customer, up to a default of 12 months. Account and billing records are retained as long as the account is active and afterwards as required for legal, tax and audit purposes. Customers may request earlier deletion, subject to legal holds.

Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to or restrict certain processing, and to appeal a refused request. Residents of some U.S. states have specific rights including the right not to be discriminated against for exercising them.

If you are a caller and want to exercise rights over information collected during a call, contact the business you called; they determine what was collected and how long it is kept. We will support them in responding, and you may also contact us at the address below and we will route your request.

Security

We use encryption in transit, encryption at rest for stored recordings and transcripts, role-based access controls, and logging of administrative access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children

The Service is for businesses and is not directed to children. We do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this policy. Material changes will be announced on this page with a revised date, and where required we will provide additional notice.
